Preventing tool theft on site: 6 routines

The best way to prevent tool theft on site is routine, not just padlocks. One named person for every van and cabin. Visible marking on anything worth marking. A check-out every time a tool changes hands. And a quick check every week, so anything missing is spotted while someone still remembers where it went.

Sounds simple? It is. The hard part is making it stick at 6:30 on an ordinary Tuesday morning.

Here are the routines we think every contractor should have in place.

Why do tools go missing on site?

Not everything that's missing has been stolen.

Often the tool is in the wrong van. Or with a subcontractor. Or in a cabin on a job that wrapped up last month.

But that matters less than you'd think. Stolen or just mislaid, the root problem is the same: nobody knows who had it last.

And a tool nobody misses for three weeks is a lot easier to steal.

How do you prevent tool theft on site?

1. Give every van and cabin a named owner

A name, not "the team". When everyone is responsible, no one is.

2. Mark your tools visibly

A clearly marked tool is less tempting to take and harder to sell on. See how theft marking with QR labels and check-out works.

Tip: engrave the most expensive kit and put a QR label on the rest. The engraving proves ownership; the QR code is your day-to-day control.

3. Check out every loan – even the quick ones

"I'll only need it for an hour" is exactly how tools disappear.

When the person taking the tool scans and checks it out, responsibility moves to them there and then. No slips of paper, no folder in the store. Here's how you can see who has each tool with a QR check-out.

4. Record loans to subcontractors

Lending kit to a subcontractor? Log it as a loan against the job. Otherwise the tool is simply "gone" when the site is cleared. More on how this fits into tool management on construction projects.

5. Do a quick check every week

All it takes is a quick inventory check every week. Pick ten tools. Do they match the list? If not, follow it up the same day.

A small weekly check beats a big annual stocktake. You can still ask while people remember.

6. Lock away what isn't in use

Obvious, yes. But a container left unlocked over the weekend is an open invitation. Walk round the cabins and containers before you head home on Friday.

What should you do when a tool goes missing?

  1. Check who had it last. Not the whole group chat – one person.
  2. Call that person. Most of the time, that's the end of it.
  3. Log it as a discrepancy if it hasn't turned up by the end of the week.
  4. Report it to the police if you suspect theft. Have the ID, model and a photo ready – it makes reporting easier.

How does Delatool help?

Delatool brings these routines together in one place:

  • A QR label on every tool.
  • Check-out with your phone – in the browser, no app needed.
  • Loan history: who has the tool now, who had it before, and when.
  • Inventory that shows what's missing before the next job.
  • A PIN requirement if you only want authorised people to borrow and return tools.

No system can stop a thief. But it means you notice when something's missing – and know who to ask.

Frequently asked questions

How often should you check your tools on site?

Do a short spot check every week, so anything missing is picked up while someone still remembers where it went. Read more about tool inventory.

Is marking your tools enough?

Marking deters theft and helps when you report it to the police. But without a check-out you still don't know who had the tool last. It's the combination that makes the difference.

Does everyone on the team need an app to check tools out?

No. With Delatool you scan the QR code with your phone camera and check the tool out in the browser.
