What is 5S?
Originally, 5S stands for the five steps Sort (Seiri), Set in order (Seiton), Shine (Seiso),
Standardise (Seiketsu) and Sustain (Shitsuke). These steps create a clean,
organised and safe workplace, which in turn leads to higher efficiency, quality and well-being.
In our implementation we have placed extra focus on the following steps:
- Sort — Remove unnecessary items and ensure everything you actually need
remains.
- Set in order — Organise, label and ensure each item has its place.
- Shine — Keep the workplace clean and in good condition so deviations are easy to spot.
- Standardise — Ensure that the rules and ways of working that proved successful
become the standard, so order can be maintained over the long term.
In practice this means that once you reach a certain level and answer all questions with 100% "Yes",
you can advance to the next step. When you finally reach Standardise, you formulate
your own permanent routines or "statements" that you want to maintain in everyday work.
Benefits of 5S
When you introduce 5S in the workplace you will notice several positive effects:
- Better safety: Fewer accidents occur when spaces are clean and organised.
- Higher efficiency: Less time is spent searching for tools and materials.
- Improved quality: When tools and machinery are properly maintained, the end product improves.
- Greater well-being: A well-organised work environment makes it more pleasant to be at work.
Did you know?
5S is not just for factories! The methodology can be used in offices, laboratories, warehouses
and any other operations that want to create a more efficient and pleasant workflow.
Smart 5S system with Delatool
To make it easy to digitalise 5S we have created Smart 5S — a modern 5S system
that connects directly to the areas and tools in your
Delatool Tool management system
.
With 5S Status and Area Manager you can measure the current level,
follow progress and sustain workplace organisation.
5S Status is built around tailored questions for each step (Sort, Set in order,
Shine and finally Standardise). You simply answer "Yes" or "No" to each question to assess how well
you meet the level. If you reach 100% "Yes" your level is automatically upgraded, and if your score
drops too low, you are downgraded.
While the first three steps are mostly general 5S questions, Standardise
is about defining and embedding your own "statements" or standards for your workplace.
For example, you can decide that "All floor surfaces must be clear" or "Every workbench has
red bins for spare parts". These become your own rules that you continue to verify.
All history is logged so you can track progress over time and see how well you maintain order.
That way 5S becomes part of your daily work, not a one-off effort.
It delivers measurable improvement and clear ownership per area.

Digitalise 5S — modern 5S with lean principles
5S is a cornerstone of the Lean philosophy and serves as a starting point for eliminating waste
(muda) in the workplace. By creating visual order and standardised routines, 5S lays the
foundation for other lean tools such as Kaizen, standardised work and Just-in-Time.
Digitalising 5S with the modern 5S methodology means you don't just tidy up — you build a
culture of continuous improvement. Smart 5S helps you measure and follow up every step of the
5S methodology, so improvements last.
Smart 5S — digital tools for modern 5S
Going from theory to practice requires the right tools. With Smart 5S you can digitalise 5S
and move from paper-based checklists to measurable audits. Delatool's modern 5S system offers
5S Status for level assessment, Area Manager for visual layout plans and standard templates with
PDF export.

5S workplace organisation — step by step
Effective workplace organisation with 5S starts by identifying what is needed and what can be
removed (Sort). You then organise what remains so each item has its place (Set in order). By
keeping the workplace clean (Shine) you spot deviations early. Finally you formulate your own
standards that ensure order persists (Standardise).
