This Privacy Policy describes how we collect, use, store and protect your personal data when you use our web application and related services (the "Service"). By using the Service, you agree to our processing of your personal data as described in this policy.

1. Introduction

Delatool AB provides a web application for tool management that includes a tool register ("Tool management system"), a 5S system, training and consultancy services, and a database of tool reviews. To deliver these services, we collect and process certain personal data from our users.

2. Personal data we collect

We collect the following personal data:

  • For business customers:
    • Company registration / VAT number
    • Contact person's name
    • Phone number
    • Email address
    • Address
  • For members:
    • Email address
    • Password (encrypted)
  • Other data:
    • Information from forms (e.g. fault reports, reviews)
    • Images uploaded with reviews (if no company QR code is scanned)

How we collect data:

  • Via registration forms on our website for trial accounts or membership.
  • Via forms within the Service for fault reports, reviews and other interactions.

3. Purposes of processing

We process your personal data in order to:

  • Provide and administer the Service, including account management and access to the Tool management system.
  • Send notifications about recurring activities (e.g. service or inspection).
  • Handle fault reports and communicate with you.
  • Comply with legal obligations, e.g. accounting.
  • Improve the Service by analysing geographic data and user behaviour based on reviews.

We do not use your personal data for direct marketing without your explicit consent.

4. Sharing of personal data

We may share your personal data with the following third parties:

  • Suppliers: To carry out service, inspection or repairs of tools. Only the necessary data such as name, contact details and tool information is shared.
  • Render.com: For secure storage of our database. All collected personal data may be stored here.
  • Fortnox: For invoicing and payment management. This includes name, address and company registration number for invoicing customers.
  • Stripe: For card payments and subscription management when applicable.

We only share data that is necessary for the relevant purpose and ensure all third parties comply with applicable data protection laws through data processing agreements.

5. Storage and security

  • Storage: Your data is stored on servers at Render.com, which provides secure storage solutions. Data is processed within the EU/EEA where possible.
  • Security: Passwords are encrypted, and the database is protected by Render.com's security measures (see Render.com/security).
  • Retention period: Personal data for active accounts is stored for as long as the account is active. When an account is removed, personal data is deleted after 90 days, but certain anonymised data may be retained longer to meet legal requirements such as accounting.

6. Your rights as a data subject

Under the GDPR and UK GDPR, you have the right to:

  • Request access to your personal data.
  • Request rectification of inaccurate data.
  • Request erasure of your data (under certain conditions).
  • Request restriction of processing or data portability.
  • Object to certain processing activities.
  • Lodge a complaint with a supervisory authority (e.g. the Swedish IMY or the UK ICO).
