Tool check-out with QR codes
Checking a tool out means responsibility changes hands with a record – not with a promise in passing. In Delatool the check-out is a QR scan: the person who takes the tool from the store or the van scans the code on their phone, accepts responsibility, and then appears on the loan record until the tool is returned or checked out to someone else. Below is how digital check-out works, how loans to colleagues, projects and subcontractors are handled, and why the binder of paper slips always lags behind reality.
Why paper slips and binders stop working
Sign-out slips work while the store has one door, one owner and no rush. They fall apart in daily work:
- At 06:30 nobody writes a slip – the van has to leave.
- The binder is in the store, but the loan happens on the project or between two vans.
- Nobody knows whether the slip still applies or the tool has already been returned.
- When something is missing you leaf backwards instead of asking the right person.
Digital check-out wins for the same reason as digital tool tracking: the scan is the check-out. No extra step afterwards, no slip to lose.
How to check out a tool with QR
- Scan the QR code on the tool with the phone camera – check-out opens in the browser, no app.
- Accept responsibility. The person checking out confirms by name that the tool is now their responsibility.
- Use the tool. Meanwhile supervisors and colleagues see on the loan record who has it.
- Return it or check it out onwards. A new check-out at return moves responsibility back – or on to the next person who takes over.
An administrator can also request check-out in advance: the tool is then checked out automatically at the next QR check-out, for example when a tool is issued before a new project.
Lending tools – to colleagues, projects and subcontractors
Lending is everyday check-out. Three situations cover most of it:
- Between colleagues. The person who has checked a tool out can hand it over when the account allows onward loans – the recipient checks it out, responsibility moves and loan history shows the full chain.
- Between projects and vans. When a tool changes project or service van, the check-out is both the loan record and a new place in tracking.
- To subcontractors. A loan to a subcontractor is registered as a check-out against the project, so it is visible that the tool is not in your van when the site is stripped.
Returns, loan history and missing tools
Return is a check-out at home base – responsibility is released and the tool is free again. Each tool carries its own loan history: who checked it out, when, and where that check-out was scanned. That history is what matters when something is missing: instead of asking the whole crew you see who last had the tool on the loan record and you call one person. A QR scan on its own does not log who held the phone. If the tool is still not found it becomes a deviation in the next inventory, and the visible label also works as theft marking.
Check-out in the service van
For electricians, service companies and trades the van is the real store. Check-out makes the van countable: what is loaded is checked out to the van or the person, and before the next job you see what is missing – before someone stands with a customer without a press tool. The supervisor does not have to be a switchboard for “who has…?”, because the answer is on the loan record.
Check-out is part of Delatool’s tool management system for electricians, service companies, trades and construction with roughly 20–500 employees – with EU hosting. Inventories, service and calibration sit on the same code. Prices are on the pricing page.

Frequently asked questions
How do you check out a tool?
Scan the tool’s QR code with the phone and accept responsibility – check-out happens in the browser, no app. Delatool then shows who has the tool on the loan record until it is returned or checked out to someone else. It fits supervisors and workshop managers at electrical, service and construction firms who want to drop binders and group-chat questions. The next step is to order a free demo package and try it for 30 days.
Does the person checking out need an app or a login?
No. Check-out opens in the phone’s browser when the QR code is scanned. Someone who only borrows or returns does not need an app.
Can we lend tools to subcontractors?
Yes. The loan is registered as a check-out against the project, so it is visible that the tool is with the subcontractor and not in your van. Loan history shows the full chain until it is returned.
What if a checked-out tool is not returned?
The loan record shows who last checked it out, where and when. Ask that person directly – and if the tool does not turn up it becomes a deviation in the next inventory, with ID and photo as evidence.
