A tool sign-out sheet has one job: to answer "who has the tool right now?" Seven columns are enough – tool, who borrowed it, when, where it's being used, when it's due back, when it came back, and a signature. Plus a couple of rules everyone actually follows.
Sounds simple. The sheet itself is simple. The hard part is getting it filled in every time.
Here's the template we'd start with – and the rules that make it stick.
What should a tool sign-out sheet include?
Keep it short. Every extra column is another excuse to skip it.
| Tool / ID | Borrowed by | Date out | Job / location | Due back | Date returned | Signature |
|---|---|---|---|---|---|---|
| Drill #12 | Name | YYYY-MM-DD | Job / van | YYYY-MM-DD | YYYY-MM-DD | Signature |
A few tips:
- Tool / ID. Use a unique ID, not just "drill". If you have five identical ones, you need to know which is which.
- Borrowed by. One named person. Not "the team", not "van 3".
- Job / location. Where the tool is going. That's the first place you'll look when something's missing.
- Due back. Makes it easy to see what should have come back by now.
- Signature. The borrower signs. Then everyone knows responsibility has moved.
Which rules make people actually use it?
A sheet without rules is a sheet nobody fills in. Three rules go a long way:
- No loan without a line. Even if it's "just for an hour". It's often the quick loans that get forgotten.
- One person owns the sheet. Someone who looks at it every week and chases anything overdue.
- Returns get written in too. Otherwise the sheet makes it look as if everything is out all the time.
Lending tools to employees overnight or for the weekend? Same rules. Write it down and agree when it's coming back.
Why do sign-out sheets stop working?
Not because the template is bad. Because the sheet lives in one place and the loans happen somewhere else.
- The folder is in the tool store. The loan happens in the van or on site.
- At 6:30 in the morning nobody writes a line – the van has to go.
- The tool gets passed on to a colleague and nobody updates the sheet.
- When something's missing, people flick back through pages instead of calling the right person.
A spreadsheet has the same problem: it's only as accurate as the last person who updated it. We cover the template-versus-digital question in our article on tool inventory lists.
How do you lend tools to subcontractors?
Like any other loan – just be extra clear.
- Write down both the company and the person receiving the tool.
- Put the job under "Job / location".
- Agree a return date before the tool leaves, for example when the subcontractor finishes their package.
Otherwise the tool is simply "gone" when the site is cleared. More on how this fits into construction tool management.
What does a digital sign-out sheet look like?
Same columns. But the sheet lives on the tool, not in a folder.
In Delatool every tool has a QR label. Here's how it works:
- The borrower scans the QR code with their phone. The tool's panel opens in the browser – no app, no login.
- They fill in Who is borrowing? and Where will it be used?. That's your line on the sheet.
- The loan history shows who has had the tool, when, and where the borrower said it would be used.
- The inventory view shows what's out on loan and what's missing.
- If you only want authorised people to borrow and return tools, you can switch on a PIN code for the whole account.
See how a QR check-out shows who has each tool.
A clear sign-out sheet is also a simple way of preventing tool theft on site. A tool that's signed out to someone always has a person you can ask.
Frequently asked questions
What should go on a tool loan log?
Tool and ID, who borrowed it, date out, job or location, due-back date, date returned and a signature. You rarely need more than that.
Should employees be allowed to take tools home?
That's your call. But log the loan as usual and agree when the tool is due back. Then everyone knows who's responsible.
Does the borrower need an app?
Not with Delatool. The QR code opens the tool's panel in the phone's browser, and the loan is recorded with no app and no login.
